Information we receive
SJIT may receive information you choose to submit through public website experiences, including Integrated Programs interest forms and other inquiry workflows. Information may include your name, email address, telephone or WhatsApp number, country, academic or professional stage, organization or university, preferred contact method, application answers, program selection, submission status, application-cycle notification requests, and the message or opportunity associated with your request.

- Context automatically attached to a request, such as the opportunity or page that generated it.
- Basic technical information required to deliver and protect the website and server-side services.

How information is used
Information is used to respond to requests, provide details about academic opportunities, support institutional communication, maintain records of legitimate inquiries, operate public verification services, protect website integrity, and improve the usefulness of SJIT services.

Applicant accounts and applications
The SJIT Applicant Portal processes account credentials and application information so applicants can save progress, submit applications, and review status. Passwords are stored as cryptographic password hashes rather than plain-text passwords. Application records can include identity and contact information, academic and professional background, self-assessments, essays, scholarship-related information, CV text, program selection, submission timestamps, and admissions-status information. For current application cycles, when an applicant selects a PDF, DOCX, or TXT CV, text extraction occurs in the applicant’s browser and SJIT receives only the plain text the applicant reviews or edits; the original document is not uploaded.
- Applicant sessions use secure HTTP-only cookies so authentication state is not stored in browser local storage.
- Application data is intended for admissions, enrollment, scholarship or financial-access review where relevant, and related institutional recordkeeping.
- Access to applicant records should be limited to authorized institutional personnel and systems with a legitimate admissions or enrollment purpose.

Credential verification
The credential-verification service is designed to return limited information necessary to confirm whether an SJIT credential identifier corresponds to a record in the verification registry. A successful lookup may display the credential holder name, credential title, issue date, identifier, and current verification status. The service is not intended to expose academic records, grades, private documents, or unrelated personal information.

Public alumni profiles
The employer-facing alumni and student directory is intended to publish only profiles approved for public visibility. Directory participation should be opt-in, and publication should be limited to information the participant has agreed may be shown publicly. Private academic records and internal student information are not part of the public directory experience.

Storage and retention
Public inquiry records may be stored on SJIT-controlled infrastructure so that requests can be followed up and institutional records can be maintained. Retention periods may vary according to the nature of the request, operational needs, applicable obligations, and whether an ongoing academic or institutional relationship exists.
- Access should be limited to people who need the information for the relevant institutional purpose.
- Information should be removed or de-identified when it is no longer reasonably required, subject to legitimate recordkeeping needs.

External services and links
SJIT pages may link to external universities, partners, providers, platforms, or other websites. Those organizations control their own websites and privacy practices. Their inclusion on an SJIT page does not make their privacy practices part of this notice.

Your choices and questions
You may contact SJIT to ask a privacy question, request correction of information you previously submitted, or request deletion where appropriate and where retention is not required for another legitimate institutional purpose. Requests can be sent to web-info@sanjose.institute.
